Sponsorship

If you are being sponsored to do an event you can download our sponsorship form here or set up a JustGiving account online. It's really simple, just click on 'make your page' to get started.

Organising your event

Once you have decided how you would like to raise your funds you will need to go about organising your event and/or sponsorship. Before you get planning in earnest, it's a good idea to think about;

  • How much time you have to organise and hold your event.
    Big ideas and large events are great but make sure it's possible for you to accomplish.
  • Who can help you with organising and running your event.
    Are you doing an event or fundraising with a group? You don't need to do it alone. Make sure everyone you want involved is informed and if it's an event, get friends and family to help out.
  • How much it will cost and will you need help with your costs.
    If you're planning a big event you may want to think about holding some smaller fundraisers, like a car boot sale, for sponsorship or approaching corporate sponsors. Just make sure people know what they are giving money towards!
    Get in touch and we can discuss ways to help fund your event.
  • Donating prizes.
    Is there a local business, restaurant or club that could donate a prize for your competition or raffle?
  • If it's an event, research your date!
    You don't want all your hard work to go to waste. Make sure your event doesn't clash with another local or national event or important date.

Important Guidelines!

  •  Door to door and Street fundraising.
    We don't have a license for these activities, Please contact us if you're unsure of what these activities entail. You can have a collection box at your event but contact us for details on permission.
  • Raffles and lotteries.
    Some raffle and lottery events require a special license. Get in touch if you're considering doing either.
  • Permission for venue.
    Whether it's a building, a park, or a household, always make sure you've got permission from the site owner or council before organising an event.
  • Health & Safety and Insurance.
    Make sure you comply with your venue's health & safety guidelines and ask the site holder or the council about whether additional insurance is necessary for your event.
  • Use of Cool Earth branding.
    Please contact us if you are using our logo and information in your fundraising activities to ensure that all usage is appropriate.
  • Alcohol, food and music.
    In most public premises you must have a license for the supply or sale of alcohol and hot food and permission for playing live or recorded music. Please contact us to discuss.

Getting your donation to us

You've worked hard, had a lot of fun and raised money for Cool Earth. So what now?

You can send us the money you've raised in the following ways...

  • If your money is mainly in notes you can just send it to us in the post. Make sure you send it with a note telling us who it's from and how you raised it and make sure you send it securely via recorded delivery to ensure its safe return.
  • If there is a lot of loose change you might want to bank it and then send us a cheque, or if you have raised it as part of a club or society you could send us a cheque from your organisation
  • If people have given you money which they have Gift Aided, you must send us their individual donations attached to their gift aid declarations (see details on gift aiding here).
  • You can also set up a Cool Earth JustGiving page, where you can tell tell everyone about your event and enable them to sponsor you online.
  • Or go to Donate and submit your fundraising proceeds through a single online donation.

Once you've given us your donations make sure you let us know at fundraising@coolearth.org and we'll send you a receipt and certificate for all your efforts. Don't forget to tell us about your event so we can tell our supporters about your hard work on our website and in our magazine.
